Best Practices for Using Drive Guard

Maximise the impact of your scans and maintain a secure Google Drive environment with these best practices:

  • Run scans regularly: Perform weekly or monthly scans to catch new external or public shares early.
  • Use meaningful task names: Name your tasks based on purpose or folder scanned (e.g., "Marketing Shared Drive - Q2 Audit") for easy tracking.
  • Start with high-risk filters: Use the "External Shares Only" or "Public Links" filters first to quickly identify and address the most vulnerable files.
  • Review both sheets: Use the "By Files" sheet to see what’s shared, and the "By Users" sheet to understand who has access across your drive.
  • Export and archive reports: Keep exported reports as part of your audit trail or compliance documentation.
  • Limit editor access: Wherever possible, downgrade sharing from “Editor” to “Viewer” to reduce risk.
